Coaches and students schedule sessions via our coaching platform which integrates with a coach’s existing calendar system. The below information outlines the details of those integrations.
Google Integration for Technovation Coaching Platform
Overview
The Google Meet integration allows coaches to automatically create Google Meet video sessions and calendar events within the Technovation coaching platform. Once they have authorized the connection, coaches can seamlessly schedule video sessions with students without manually setting up meetings in Google Calendar and Meet.
Who is this for: Volunteer coaches working with students in the Technovation program
What it does: Connects your Google account to automatically create calendar events and Meet links for coaching sessions
Key benefit: No manual meeting setup – sessions are automatically added to your Google Calendar with Meet links
Adding the Google Meet Integration
Prerequisites
- A Google account (Gmail, Google Workspace, or Google for Education)
- Access to the Technovation coaching platform
- Permission to create calendar events and Meet meetings
Step-by-Step Connection
- Start the Connection Process
- Log in to your Technovation coaching platform at technovation.org/coachingplatform
- Navigate to Settings > Integrations or Calendar Settings
- Click “Connect Google Calendar”
- Sign In to Google
- You’ll be redirected to Google’s secure sign-in page
- Enter your Google account credentials
- If you’re already signed in, select the account you want to use
- Review and Grant Permissions
- Google will show you what permissions Technovation is requesting:
- See, edit, share, and permanently delete calendars: Needed to create coaching session events
- Create meetings on your behalf: Needed to generate Google Meet links
- Basic profile information: Your name and email to identify your account
- Click “Allow” to grant these permissions
- Google will show you what permissions Technovation is requesting:
- Confirmation
- You’ll be redirected back to the Technovation coaching platform
- A success message confirms your Google account is connected
- Future coaching sessions will automatically create calendar events
Troubleshooting Connection Issues
Issue: “Authorization failed” or error page appears
Solution:
- Make sure you’re using a personal or work Google account (not a managed student account)
- Clear your browser cache and cookies, then try again
- Ensure pop-ups are allowed for technovation.org and google.com
Issue: “Permission denied” error
Solution:
- If using a Google Workspace account, check with your IT administrator that external OAuth apps are allowed
- Some educational Google Workspace accounts may have restrictions
Issue: Redirect loop or page doesn’t load
Solution:
- Disable browser extensions temporarily (especially ad blockers)
- Try a different browser or incognito/private mode
- Check that JavaScript is enabled
Using the Google Meet Integration
Automatic Session Scheduling
Once connected, the integration works automatically:
- When you schedule a coaching session:
- A Google Calendar event is created in your calendar
- A Google Meet link is automatically generated
- The event includes session details, student information, and the Meet link
- Students receive:
- Email notification with session details and Meet link
- Calendar invitation (if they use Google Calendar)
- Session appears in their Technovation portal dashboard
- Joining the session:
- Click the Meet link in your calendar event
- Or click the link in the Technovation platform
- Students can join without a Google account (as guests)
What Data Does Technovation Access?
Calendar access:
- Creates events for scheduled coaching sessions
- Updates events if you reschedule
- Deletes events if you cancel a session
- Does NOT read or access your other calendar events
- Does NOT share your calendar with others
Google Meet access:
- Generates Meet links for coaching sessions
- Includes Meet links in calendar events
- Does NOT record meetings
- Does NOT access meeting content or attendance
Profile information:
- Your name and email address to identify your account
- Does NOT access other Google account data (Drive, Gmail, etc.)
For Students
Students do NOT need to:
- Have a Google account
- Install any apps
- Authorize any permissions
Students can:
- Join Meet sessions as guests using the provided link
- Join from browser (no app needed) or Google Meet app
- View session details in the Technovation portal
Managing Your Connection
Viewing Connected Status
Check your connection status:
- Go to Settings > Integrations in the coaching platform
- Your Google account email will be displayed
- Status shows “Connected” with a green indicator
Reconnecting After Changes
If you change your Google password or revoke access, you’ll need to reconnect:
- The portal will show “Connection required”
- Click “Reconnect Google”
- Follow the authorization steps again
Removing the Google Meet Integration
How to Disconnect
Option 1: From Technovation Portal (Recommended)
- Log in to the Coach Portal
- Go to Settings > Integrations
- Click “Disconnect” next to Google Calendar/Meet
- Confirm removal
Option 2: From Google Account Settings
- Go to myaccount.google.com/permissions
- Find “Technovation Coaching” or “Technovation”
- Click “Remove Access”
- Confirm removal
What Happens When You Disconnect
Immediate effects:
- New coaching sessions will NOT automatically create calendar events
- You’ll need to manually create and share Meet links
- Your Google Calendar integration stops working
Existing events:
- Calendar events already created remain in your Google Calendar
- You can manually delete them if desired
- Students can still use existing Meet links for scheduled sessions
Data handling:
- Your Google authorization token is immediately revoked
- Technovation can no longer access your Google account
- Your connection details are deleted from our systems within 30 days
- Historical session records (without Google data) are retained per our retention policy
Re-authorizing Later
You can reconnect at any time by following the connection steps again. This creates a fresh authorization with no impact on your historical sessions.
Privacy and Security
What we store:
- OAuth authorization token (encrypted)
- Your Google account email
- Calendar event IDs for sessions you create
- Google Meet links for your sessions
What we do NOT store:
- Your Google password
- Content from other calendar events
- Personal emails or documents
- Student Google account information
Security measures:
- All connections use OAuth 2.0 (industry standard)
- Encrypted HTTPS communication
- Tokens can be revoked at any time
- No password storage

Zoom Integration for Technovation Coaching Platform
Overview
The Zoom integration allows coaches to automatically create scheduled Zoom meetings within the Technovation coaching platform. Once they have authorized the connection, coaches can seamlessly schedule video sessions with students without manually setting up meetings in Zoom.
Important: Students and coaches do not need to download or install any separate apps. If a coach has an existing Zoom account, the integration works entirely within the Technovation platform.
Adding the Zoom Integration
Prerequisites
- An active Zoom account (free or paid)
- Access to the Technovation Coaching Platform
- Authorization to allow the Technovation platform to create meetings on your behalf
Step-by-Step Authorization
- Navigate to Integration Settings
- Log in to your Technovation Coach Portal
- Go to Settings > Integrations or Calendar Settings
- Click “Connect Zoom”
- Authorize the App
- You’ll be redirected to Zoom’s authorization page
- Review the permissions requested:
- Create scheduled meetings
- Access basic meeting information
- Click “Authorize” to grant permissions
- Confirmation
- You’ll be redirected back to the Technovation portal
- A success message will confirm the integration is active
- You can now schedule Zoom meetings directly from the portal without additional manual interaction within Zoom
Troubleshooting Authorization Issues
Issue: Authorization fails or shows an error
- Solution: Ensure you’re logged into the correct Zoom account. Try logging out of Zoom and authorizing again.
Issue: Redirect doesn’t complete
- Solution: Check that pop-ups are not blocked in your browser. Allow pop-ups for technovation.org and zoom.us.
Issue: “Permission denied” error
- Solution: Your Zoom account may have restrictions. Contact your Zoom account administrator if you’re on a managed account.
Using the Zoom Integration
How It Works
Once authorized, the Zoom integration automatically:
- Creates Zoom meeting links when you schedule coaching sessions
- Includes meeting details in session invitations
- Sends calendar invites with Zoom links to both coaches and students
- Updates meeting information if you reschedule
Scheduling a Session with Zoom
- Create a new coaching session in the platform
- Select date and time
- The system automatically generates a Zoom meeting link
- Students receive the meeting link via email and in their platform dashboard
- Both coach and student can join the meeting at the scheduled time
Permissions and Data Usage
The integration uses the following Zoom permissions:
- Meeting creation: Allows automatic creation of scheduled meetings
- Basic meeting info: Retrieves meeting IDs and join links
What Technovation does with your Zoom data:
- Creates meetings on your behalf when you schedule coaching sessions
- Stores meeting IDs and links to display in the coaching platform
- Does NOT access or record meeting content
- Does NOT share your Zoom account information with third parties
For Students
Students do NOT need to:
- Create a Zoom account (optional)
- Install any apps
- Authorize any permissions
Students simply:
- Receive a Zoom meeting link via email and the portal
- Click the link at the scheduled time to join
- Can join from browser or Zoom app (their choice)
Removing the Zoom Integration
How to De-authorize
- From Technovation Portal:
- Go to Settings > Integrations
- Click “Disconnect” next to Zoom
- Confirm removal
- From Zoom App Marketplace (optional, for complete removal):
- Log in to Zoom App Marketplace
- Go to “Manage” > “Installed Apps”
- Find “Technovation Coaching Platform”
- Click “Remove” or “Uninstall”
What Happens When You Remove the Integration
Immediate effects:
- Future coaching sessions will NOT automatically create Zoom meetings
- You’ll need to manually create and share meeting links
- Existing scheduled meetings will remain active (not deleted)
Data handling:
- Your Zoom authorization token is immediately deleted from our systems
- Meeting links from past sessions are retained for historical records only
- No new Zoom API calls will be made on your behalf
- Your Zoom account information is removed from our database within 30 days
Re-authorizing Later
You can reconnect Zoom integration at any time by following the authorization steps again. This creates a new authorization – previous meeting history is not affected.
Privacy and Security
Data Protection
- Zoom credentials are never stored by Technovation
- Only OAuth tokens (which can be revoked anytime) are retained
- All communication with Zoom uses encrypted HTTPS connections
- Meeting links are only visible to authorized coaches and enrolled students
